Mountainview Game Ranch Terms and Conditions and Contract


Contract VIEWINGS: 

  • Viewing by prior arrangement. 


SPECIAL OFFERS AND PROMOTIONS:

  • Special Offers/Promotions are only valid if the final guest numbers meet the requirements stipulated. Should the guest numbers not materialise, the full weekend wedding venue hire will be applicable. 


BOOKINGS & DEPOSITS: 

  • Bookings are confirmed upon receipt of an R15,000.00 venue deposit.
  • Deposits are non-refundable if cancellation takes place within 3 months of the wedding. If cancellation is within 5 and 3 months of the wedding, a 50 % deposit refund will apply.
  • Balance to be settled 14 days prior to the wedding day. 


CHILDREN: 

  • No Children without adult supervision. 
  • It is extremely important that guests arrange supervision for small children as there are no lifeguards on duty and the pool area at the lodge and Venue 2 are not fenced.
  • Any damages/losses caused by unattended children, will be for the account of the bridal couple and will be deducted from the breakage deposit. If charges exceed this amount, the outstanding amount will be charged to the bridal couple. 


ALCOHOL: 

  • No own alcohol is permitted on the farm. 
  • We kindly ask that you relay this request to your guests. We will also inform the guests when they book their accommodation that there is no own alcohol allowed on the farm.

SERVICE PROVIDERS: 

  • All florists to please vacate the venue 2 hours prior to commencement of the function, to allow our cleaning staff to finalize preparation for the reception. 
  • DJ’s and Photographers will be allowed to set up 2 hours prior to the function.
  • No staples to be used for any decorations. 
  • Any breakages caused by guests and suppliers will be the liability of the bridal couple and will be deducted from the breakage deposit of R5000.00. If damages exceed this amount, the bridal couple will be accountable for the balance. 
  • Candles to be used cautiously as the venue has a thatched roof and fire is a major risk. Any property damaged by candles or décor will be the liability of the bridal couple. 


GRATUITY: 

  • Gratuity is optional and at the discretion of the client and handed over to the wedding coordinator who will distribute it amongst the staff.


FOOD, BEVERAGE AND BAR: 

  • No self-catering or outside caterers allowed. This does not apply to the wedding cake. 
  • Menu to be chosen according to your individual preference. A wide variety of dishes are available for you to choose from – if you wish to have alternative dishes added to your menu, you are welcome to discuss it with us. 
  • Meals are planned for in advance and arranged with the bridal couple and arrangements are communicated to the guests by the client. 
  • Main course is served Buffet style only, to ensure warm, quality food for a large group.
  • The buffet will be displayed for 2 hours from the time of the main course. 
  • Unfortunately, no take-away food from the buffet is allowed. As we make sure there are more than enough food for the guests, any left-over food remains the property of Mountainview.
  • If you prefer, we can swop your plated starter for a Harvest Table option to serve with welcome drinks whilst photos are being taken – please request a quote for this option.
  • We request that clients brief us regarding their requirements for the provision of a full bar, wine, malt, soft drinks or a cash bar. 
  • No own alcohol permitted on the premises – we are a fully licensed property and business. 
  • Sparkling wine, champagne and wines can be brought in at a corkage fee of R65 per bottle, by prior arrangement. 
  • Wine orders to be placed two to three weeks prior to your function. 
  • A request can be made for certain items to be excluded from the bar list. 
  • Bar list is available on request. 
  • Clients are welcome to set a limit on the total bar expenditure for their account.
  • Bar staff will keep you updated for the duration of an open bar. 
  • The bar remains open until 00h00 — the last round will be called at 23h30 and the bar will close at 00h00 —an R2000 per hour overtime rate will apply for every additional hour to remain open. 
  • The venue will close at the latest 02h00 and the boma fire will be put out.


THE WEDDING COORDINATOR 

  • Mountainview’s staff are to perform very specific tasks and timelines to work according to. They need to report to Mountainview’s management. 
  • Should you make use of a third-party wedding coordinator, he/she must please liaise directly with Mountainview’s manager. 
  • This also applies to all other service providers such as photographers, florists, designers, thus ensuring clear lines of communication. 


VENUE SETUP TIMES 

  • The service providers/organizers will have access to the venue from 09h00 on the morning of your wedding. 
  • All suppliers must finish setting up 2 hours before your wedding starts in order for us to clean and make sure that the venue is ready. 
  • DJ must set up at least two hours before the wedding starts. Mountainview staff have specific tasks to complete and will not be able to assist any of the suppliers to carry, clean or set up. Please inform your suppliers that they please bring their own help to complete their duties. 
  • Mountainview’s staff will only handle our own décor – any hired in items must be handled by your organizers/service providers. Mountainview does not take any responsibility for décor and accessories hired in. 


MUSIC, PA SYSTEMS 

  • Please provide your DJ/Sound contractor with your specific requirements regarding music and microphone setup. 
  • All DJ’s, live musicians and entertainers must please supply their own full range of equipment, backup batteries and extensions, both for the chapel and reception area. 


WHAT WE SUPPLY 

  • We supply 3 Barmen. 
  • We supply 4 runners for serving and clearing of the tables 
  • Tablecloths (White) Napkins (White) and White chair covers. 
  • Set up and cleaning of venue – Mountainview will set up the tables, white tablecloths and white chair covers, as well as the cutlery and crockery. Any additional decor will be the responsibility of your coordinator or bridesmaids on the day.


ACCOMMODATION 

  • Check-in starts at 14h00 for your guests the day before your wedding and between 12h00 – 14H00 on the day of your wedding – depending on the time of your wedding.
  • Check-out time is at 11h00. 
  • No self-catering available. 
  • No own alcohol permitted. 


The following documents required 14 days prior to your wedding day: 

  • Final table layout, wedding day, time-line and info sheet 
  • Final guest totals — Adults, children and suppliers 
  • Full and final payment 


FRIDAY NIGHT VENUE (VENUE 2): 

  • No self-catering available. 
  • Bar available. 
  • Venue 2 closes at 10h30 on the Friday night. 
  • Beverages available after breakfast/brunch on the Saturday are Spirit Coolers, beers, Bloody Mary, Vodka & Orange juice, cold drinks. No other hard liquor is available. 
  • On the Saturday after breakfast/brunch, Venue 2’s bar will close at 13h00, in order for our staff to prepare for the wedding. 


GENERAL 

  • Mountainview is by Law a non-smoking venue. Please only smoke in the designated smoking areas or outdoors. 
  • No Fireworks or Chinese lanterns will be allowed at Mountainview Game Ranch.
  • Hooting and loud music will not be permitted in the driveway and parking areas.
  • Extra viewing times can be arranged for decorators, parents, photographers by prior arrangement. 
  • Candles may not be placed directly on linen. Mountainview reserves the right to remove the candles if necessary. Any damage to linen caused by candle wax will be charged for and be deducted from the breakage deposit. 
  • No permanent alterations are allowed, this includes nails or hooks in walls, roof or frames. Any damages to Mountainview property including linen will be charged for. 
  • No driving around on ranch in private vehicles permitted outside the lodge’s camp.

Cashless Environment 

  • Mountainview works on a cash-less basis for the safety of the guests and our staff. 
  • Every guest is issued a card and an amount is loaded upfront using the guests’ credit or debit card. Once the amount is depleted, it can be topped up again. 
  • Should there be an amount refundable, it will be done directly to the client’s credit card. 
  • Should the client use a debit card, the refund will be done manually by eft transfer, during the week after the wedding.


FREQUENTLY ASKED QUESTIONS

  • AM I ALLOWED TO COME AND VIEW THE VENUE?

    You are more than welcome to view the venue. Please phone our Lodge Manager (cell: 083 438 0028) and make an appointment. Viewing only by prior arrangement. 

  • DO YOU CATER FOR GUESTS WITH SPECIAL DIETARY NEEDS?

    Special meals for vegetarians, vegans and people with food allergies can be arranged. This will be quoted on request. Please note that our kitchen is NOT halaal or kosher certified,  therefore we cannot cater for halaal or kosher guests, however, we can source halaal and kosher ingredients if they are happy with that as an alternative option. Do keep in mind that some special meals may be quoted a bit higher than expected as they can be more labour intensive.

  • WHAT IF GUESTS DO NOT SHOW UP AT OUR WEDDING? DO WE GET CHARGED FOR THEIR FOOD?

    The last day of the menu and attendee confirmation will be 14 days prior to your big day (the  Monday the week before your wedding). After this date, you cannot change your menu and you cannot reduce the attendees to be catered for. However, you may add up to five guests extra to your wedding party.  


    Unfortunately, you will be charged for the confirmed number of guests at your wedding. All leftover food AFTER everyone’s plates have been cleared, and after there was an opportunity for second helpings, will remain on the property of Mountainview Game Ranch. 


  • WHAT IF IT IS RAINING ON MY WEDDING DAY?

    Unfortunately, the weather is the one thing we cannot control. Please discuss a plan-B in case of bad weather, with the lodge’s manager. 


  • HOW MANY APPOINTMENTS ARE INCLUDED IN THE CONTRACT?

    • • 1st Appointment — Meet the Lodge Manager and view the venue and discuss your wedding day. Discuss menu options and accommodation options. 
    • • 2nd Appointment — Discuss table setting and final arrangements regarding your wedding day. The final table/wedding arrangements will be put in writing and sent to the bridal couple for approval. 
  • WHEN DO WE NEED TO PAY THE BALANCE OF THE VENUE FEES, ACCOMMODATION AND CATERING?

    You will need to confirm the number of guests 14 days prior to your wedding day. Don’t forget to add your service providers (Photographers, DJ, videographers etc). Once we have received confirmation, we will email you the invoice for catering and additional accommodation. 


  • IS THERE AN A LA CARTE RESTAURANT AT MOUNTAINVIEW?

    We are a Function, Conference and Wedding venue – we only cater for groups by prior arrangement.  

  • WHAT ARE THE SHARED BATHROOM FACILITIES AT THE DOME TENT AREA?

    There are a set of ablutions for both gents and ladies with four bathrooms equipped with toilets and showers and enough space to get dressed.

RISK/LOSS/DAMAGES 


  • Mountainview shall not be held liable for interruptions of services (water/electricity/sanitary services). 
  • Whilst precautions are taken to ensure the safeguarding of your belongings, Mountainview will not be liable for loss or damages to any property whatsoever (Decor props, wedding gifts, valuables etc) We recommend that all personal and valuable property be removed directly after the wedding. 
  • Mountainview shall not be held liable for any loss of any valuables from the bridal suite. Mountainview does not take responsibility for any items not removed from the venue. Mountainview does not accept any liability for loss or damages to any item during this period. 
  • Should Mountainview property, surrounded gardens, decor or drapery be damaged by the client or client’s suppliers during the setup or breakdown operations of the function, the client shall be held liable and will be billed accordingly. 
  • Mountainview, its employees and any person employed at the wedding, will not be held liable for any loss or injury to persons, due to negligence or any other cause whatsoever. 


CANCELLATIONS 

  • The client must confirm all changes and cancellations in writing. 
  • Should you cancel the wedding within the 3 months prior to your wedding date, no refund will apply. Should you cancel the wedding between 5 and 3 months prior to your wedding, a 50 % refund will apply. A 10% administration fee will also be charged. 
  • Mountainview reserves the right to cancel any booking forthwith and without any liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest or any other cause beyond the control of Mountainview, which shall prevent it from performing its obligation. In these circumstances, every effort will be made to find an alternative venue. 
  • Mountainview reserves the right to cancel the contract at any time.
